Business Situation
Using an outdated and non-secure platform, their staff was processing applications at slower rates than expected, while using outdated software to manage their tasks and candidates. The various departments and users needed to complete the application process used multiple systems and a long paper trail to manage candidate information and status. Our solution provided them with a clear, linear toolset to manage all the steps required in the candidate application process, along with features for duplicate detection, status changes, notifications, and portal access for candidates that digitized the entire application process and allowed for both LA City and LAPD to collaborate in one unified system.
Solution
PoliceNexus enables digital transformation for law enforcement agencies and police departments with an integrated, flexible, reliable, and Criminal Justice Information Systems (CJIS) compliant solution hosted in the Microsoft Azure Government Community Cloud (GCC) with ready-to-deploy candidate portals for increased applicant self-service, low-code/no-code application development tools to quickly respond to evolving process needs, and powerful workflow tools to automate manual processes. PoliceNexus provides self-service tools and transparency so candidates always know where they are in the process and may stay engaged throughout the application lifecycle. The recruiting process includes extensive screening of each candidate through a multi-step process to ensure they are mentally and physically fit to serve as a sworn officer. This process can take up to 12 months or more, meaning candidates must remain engaged as a candidate for more than a year, from first contact through certification and appointment. Using the Candidate Application module, department users’ activities and candidates’ motivation can be measured to ensure engagement while automation significantly reduces these timelines. The Candidate Application solution expands and improves the ability to engage, prepare, and communicate with candidates through the delivery of meaningful online mentorship, guidance, and support while reducing the administrative burden on individual department users. Police candidates have access to information, support, and answers to candidate application inquiries in real-time, driving candidate engagement through self-service while reducing department officials’ workload. Utilizing a candidate-facing web-based tool that serves as the front-end candidate portal, candidates are in control of their application process, performing self-service through a linear status page that offers quick turnaround in scheduling and access to test results. By integrating self-scheduling of test parts through the portal, candidates can expedite their hiring process without confusion, while department personnel understand available capacity and resource requirements in advance. Within the portal, candidates are provided a real-time status tracker to inform them of their progress at any time throughout the hiring process.
Benefits
• Candidate Profile Management – allows recruitment and hiring department staff members to quickly perform applicant intake and manage candidate profile information, while providing candidate self-service through a portal interface. • Application Workflow Automation and Rules – documenting existing “as-is” business process flows and provides “to-be” improved business rules and improved system efficiencies with workflows to automate record handling based upon best practices. • Digital Asset Management – allows for documents and media files to be stored and linked to a contact or candidate record that can be securely shared, mitigating the potential for errors in physical files. • Candidate Application Record/Case Load Management – provides a way to manage related appointments and stages throughout the application lifecycle, ensuring that each application record is moved through the documented process in a timely manner. • Reporting and Analytics – provides a series of standard reports and dashboards for system users for each step in the process, including user-specific department dashboards with current active records and results for each stage, including aggregate reporting and trend analysis. • Security – Security roles and access permissions allow for individual business units to control and manage entities based on specific user or role-based requirements, all from within the same unified solution. • Secure Candidate Portal – includes unique redemption codes to access the secure candidate portal. • SMS-based communication – enable SMS-based communications from within PoliceNexus, reminders and notifications based on workflow triggers, as well as record update features available on any web-enabled device. • Calendaring and Schedule Management – utilizing native integration with Microsoft Outlook and Exchange, schedules and resources can be managed within the back office PoliceNexus solution and portal.
The LAPD and LA City Personnel needed a solution to manage their candidate application process.
